JOB OVERVIEW:

We are seeking a dynamic and proactive Operations Specialist to join our amazing People Team at Kevel! This individual will play a key role in supporting the day-to-day of our People (HR) and Legal functions and ensuring the smooth running of our people operations. The ideal candidate will be knowledgeable in project management, possess strong organizational skills, be a proactive multi-tasker and have a passion for fostering a positive work environment. This position requires an individual who thrives in a fast-paced environment and is dedicated to helping employees succeed while supporting the organization’s overall objectives.

LOCATION: Hybrid - Porto, Portugal. This position is a hybrid role in which we would like the person to go onsite to our Portugal office at least 2 - 3 days a week. Applicants located anywhere within the Porto region are encouraged to apply. Applicants must be legally eligible to work in Portugal.

PAY TRANSPARENCY: Kevel uses external, third-party market data to determine compensation for all open positions. Our compensation philosophy is based on the candidate’s specific working location and experience level. This means that we will take a no negotiation approach in our recruitment and offer processes. The pay range for this position is between €20,000 - €25,000 annual salary. An exact offer for this position will be determined based on the candidate's working location and experience level, in relation to our existing team.

WHAT YOU'LL ACCOMPLISH:

  • Employee Onboarding & Offboarding: Administer the onboarding and offboarding process for new hires and existing employees, ensuring a seamless transition.
  • HR Administration and Support: Maintain and update employee records in our HRIS (Rippling); ensure accuracy and compliance with company policies and legal requirements; act as an initial point of contact for employees regarding Kevel policies and either answering support questions or escalating them appropriately
  • Compliance & Benefits: Assist in managing employee benefits programs across all countries. Support Director of People Operations to ensure all compliance activities are handled across operating countries, including ergonomic reviews, health and safety, checks, etc.
  • Legal Support: Support in-house General Counsel with ongoing documentation and administrative needs, including contract updates, document review and preparation, and project management of signature requests and execution.
  • Performance, Learning, and Engagement Coordination: Assist with key initiatives, including setting up performance review processes and ensuring they are completed in a timely manner; setting up training and compliance programs and serving as project manager; and supporting engagement initiatives to foster a positive and healthy company culture
  • Event Coordination and Scheduling: Help in coordination of in-person team events throughout the year, and our annual All-Hands event each February. Provide general day-to-day support for People and Legal teams to schedule meetings as necessary.
  • Facilities Management: Serve as on-site office manager for our Porto office while handling remote requests for our Copenhagen office (such as grocery and supply orders) and administer WeWork memberships for employees in all countries.
  • Helpdesk Triage and Support: Provide Tier 1 helpdesk support for centralized company programs, such as password resets in Google and providing access to Zoom or Slack.

SKILLS YOU'LL BRING WITH YOU:

  • 1-3 years of experience in an HR, People Operations or Administrative role
  • Basic understanding of HR processes and compliance.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities with demonstrated ability to project manage and execute.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with HRIS systems.
  • Ability to handle sensitive information with confidentiality.
  • Business fluency in Portuguese and English, with the ability to read, process, and understand technical contracts
  • Detail-oriented with a problem-solving mindset.
  • Proactive and self-motivated, with a strong desire to learn.
  • Collaborative and team-oriented with a passion for working with and helping people of all levels.
  • Ability to work across multiple timezones and support globally dispersed teams.
  • It's a bonus if you have:
    • Experience with HR and/or office management responsibilities, including recruitment or talent acquisition.
    • Experience in a fast-paced, start up environment
    • Experience with Rippling or Lattice
