Job Title: Administrative Coordinator Company: Defining Wellness Centers Location: Onsite – Brandon, Mississippi Reports To: Executive Director / Clinic Director Position Summary The Administrative Coordinator at Defining Wellness Centers plays a vital role in ensuring the efficient day-to-day operations of the facility. This position supports clinical and leadership staff by managing administrative functions, maintaining organization, and delivering exceptional service to clients, staff, and external partners. Key Responsibilities Manage front office operations, including answering phones, greeting clients, and directing inquiries appropriately Schedule appointments, meetings, and staff calendars with accuracy and efficiency Maintain and organize client records in compliance with confidentiality regulations (HIPAA) Assist with onboarding new employees, including documentation and orientation scheduling Prepare reports, correspondence, and internal documents as needed Monitor office supplies and coordinate ordering to ensure operational continuity Support billing, insurance verification, and data entry tasks as needed Coordinate communication between departments to ensure seamless workflow Assist leadership with special projects and operational initiatives Ensure a clean, welcoming, and professional office environment Qualifications High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred 2+ years of administrative or office support experience (healthcare or behavioral health preferred) Strong organizational and multitasking skills Excellent written and verbal communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) and electronic health record (EHR) systems Ability to handle sensitive information with discretion and professionalism Core Competencies Attention to detail and accuracy Time management and prioritization Customer service and interpersonal skills Problem-solving and adaptability Team collaboration
